About This Disclosure
Reserves Now is committed to the responsible, transparent, and accountable use of artificial intelligence. This disclosure explains how AI is used within our platform, what data is processed, how outputs should be interpreted, and what governance measures are in place.
This disclosure is provided in accordance with emerging AI transparency standards and best practices in responsible AI deployment, including the NIST AI Risk Management Framework (AI RMF 1.0).
How AI Is Used
Reserves Now uses a large language model (LLM) API provided by Anthropic, Inc. to generate property damage cost reserve reports. The AI system receives a structured prompt containing:
- Property address (used to estimate property type and square footage)
- Loss description as entered by the licensed adjuster
- Property profile (residential or commercial)
- Reference number (internal claim identifier only (see PII Policy below))
The AI system returns a structured HTML report containing an executive summary, itemized cost breakdown by repair category, a reserve range (low, mid, high), and a disclaimer. No AI-generated output is presented as a final determination of value.
What AI Does Not Do
- The AI does not make coverage decisions or determinations
- The AI does not access external databases, property records, or claims systems
- The AI does not retain information between sessions or learn from individual reports
- The AI does not replace the professional judgment of a licensed adjuster
- The AI does not constitute a formal appraisal, engineering assessment, or insurance adjustment
Personally Identifying Information: Our Policy
Reserves Now does not request, require, or store personally identifying information about claimants. Our platform is designed from the ground up to operate without PII. The Reference Number field accepts only internal claim or file identifiers. Adjusters are explicitly instructed not to enter claimant names, addresses, Social Security numbers, policy numbers, or any other personally identifying information.
Specifically, our platform does not collect or transmit to the AI system:
- Claimant names, dates of birth, or contact information
- Social Security numbers or government-issued identification numbers
- Policy numbers or insurance account information
- Financial account information
- Medical information of any kind
- Any other information that identifies or could reasonably identify a natural person
The property address submitted is used solely for the purpose of estimating property characteristics (type, approximate size, regional construction costs) relevant to the reserve report. It is not used for any other purpose and is not combined with other data to identify individuals.
Data Handling and Retention
- Report data is stored in the carrier's account database, accessible only to authorized users within that carrier organization
- AI API calls are processed by Anthropic, Inc. subject to Anthropic's data processing and privacy policies
- Payment information is processed by Stripe, Inc. and is never stored on Reserves Now systems
- Authentication data (email addresses and hashed passwords) is stored securely and used only for account access
- Reserves Now does not sell, share, or transfer report data to third parties
Limitations and Appropriate Use
Reserves Now reports are preliminary cost reserve reports only. They are generated from information provided at first contact with the insured, without physical inspection of the property. Actual repair costs may vary significantly based on contractor pricing, material availability, local labor markets, code compliance requirements, and site conditions not visible without physical inspection.
Every report generated by Reserves Now includes a disclaimer that it is the adjuster's professional and fiduciary duty to verify, investigate, and establish accurate reserves based on actual site conditions. Reserves Now reports are intended as a starting point, not a final reserve figure.
Human Oversight
Reserves Now is designed to support human professional judgment, not replace it. The platform requires:
- A licensed adjuster to initiate and review every report
- Explicit acknowledgment of the report's preliminary nature before generation
- Adjuster review of all AI-generated line items and reserve ranges
- Physical inspection and professional judgment to finalize any reserve figure
AI System Transparency
- AI Provider: Anthropic, Inc. Claude API (claude-sonnet model)
- Model Type: Large language model (LLM)
- Input: Structured text prompt containing property and damage description
- Output: Structured HTML report with cost estimates
- No Training on User Data: Reserves Now does not use report data to train or fine-tune AI models
- Prohibited Outputs: The AI system is explicitly instructed not to include legal fees, public adjuster fees, engineering assessments, structural assessments, contingency items, temporary housing, or additional living expenses in its output

Reserves Now was designed and built by Timothy Wieneke under Wieneke Group. AI governance is not an afterthought. It is embedded in the product design. Timothy holds the following credentials relevant to responsible AI deployment:
The design of this platform reflects the NIST AI Risk Management Framework principles of Govern, Map, Measure, and Manage, applied to a real-world insurance claims tool. Governance decisions embedded in the platform include explicit output restrictions, mandatory human review requirements, PII exclusion by design, and transparent disclosure of AI involvement on every report.
